Changes Coming to Physician Access to Patient Lists and Paper Patient Health Records for Visits to Regina General and Pasqua Hospitals

Change to Access Patient Lists Coming:

Early in 2017, physicians will need to use Sunrise Clinical Manager (SCM) to access Patient Lists early in 2017. The current registration system Enovation is being replaced with the Sunrise Enterprise Registration system. Enovation will no longer be available to generate Patient Lists for hospital visits in February or possibly March 2017 at the latest.

When accessing SCM Physicians are initially set up with default patient lists by facility for all admitted patients and/or associated with them as Referring, Family, Attending, Admitting or Consulting. There will also be the ability to create personal criteria based lists. By December 4, 2016 Physicians may generate and print a report in SCM if they would like a hardcopy of their patient list. There will be more information available to you in one of the planned orientation sessions.

Patient Health Record Charts will not have SCM information for discharges as of January 1, 2017:

Important changes to physician access to paper patient health records are coming. It's important all physicians use Sunrise Clinical Manager (SCM) to access patient lists and electronic health information starting early in 2017. Effective January 1, 2017 paper patient health records held for dictation or filed will not contain any health information available in SCM. More information below.

Effective January 1, 2017, health record charts for all inpatient, outpatient and emergency visits discharged on or after January 1, 2017 will no longer have paper copies of any health information that is available for review in SCM. This includes: visit and demographic information, lab/medical imaging results, echocardiogram results, all electronic clinical documents generated in SCM and all dictated and transcribed documents generated in Dictaphone.

There are a few specific documents that will not be available in a paper version very shortly. Effective November 1, 2016 at the Pasqua; November 15, 2016 at WRC Unit 3-2 and November 22, 2016 at the RGH Therapy Services and SWADD will be completing all charting for In-patient visits in Sunrise Clinical Manager (SCM) only. This information will be available for review only in SCM. Additional workstations will be provided.

Orientation and Supports Available to Learn SCM:

IT will be facilitating several learning opportunities to facilitate this change in practice including:

  • Currently scheduled instructor led orientation – contact the IT Support Centre to register 306.766.7979.
  • Instructional videos that are available on the RQHR intranet and via a link that can be added to SCM.
  • Instructor led orientation sessions also will be scheduled evenings and Saturday mornings (dates TBD depending on demand) – specific information regarding these sessions will be circulated when available.
  • IT will be working with Department Heads to facilitate other learning opportunities for their departments. IT will be contacting the Department Heads in November to discuss potential options.
